Zelos is a collaborative platform designed to streamline task and shift management for teams. Tasks on Zelos can be structured in three ways:
- as shifts with specific start and end times. For recurring shifts, you can bulk enter multiple instances with the same information.
- as deadline-based tasks
- or as flexible "whenever" tasks for more casual activities.
You can also set signup closure times to ensure you have your final participant list when needed.

Settings
You can customize your defaults under Manage > Task settings
- Signup mode: Open (first come first serve) or Approval required (creates an application queue)
- Quitting: Allowed or not allowed
- Default supervisor: Task author / Choose an administrator account
- Update task segments: Automatically / Manually (You need to re-publish the task when new people qualify for the segment)
- Assignment visibility: Admins / Participants / Everyone (all team members see a list of names who's already assigned before signing up)
Creating new tasks and shifts
Creating a task on Zelos starts with the basics - giving your task a clear title. This will appear in app notifications, email subject lines, and the shared task list.
You can mark tasks as urgent, which affects how notifications are handled. Team members can be set up to receive emails either for all tasks matching their profile or just urgent ones.
The platform offers two levels of detail for each task. Public details are visible to all qualified team members and should contain enough information for them to decide if they can take on the task. Private details, such as phone numbers or door codes, are only shown to confirmed participants who are actually working on the task.
To better organize tasks, you can create custom fields in the Manage menu. These fields can track important information like location or special conditions (such as taxi compensation for late-night shifts).
You can attach up to five files per task - these can be images or any other necessary documents. Like the details, attachments can be set as public or private to participants only.
Target work to relevant profiles only
One of Zelos's most powerful features is its targeting system. While you can make tasks available to all team members, you can also set specific requirements based on team members' profiles.
For example, if you need someone who can drive and speaks Spanish, you can specify a profile segment with these data points, the task will only be visible to team members matching those criteria.
Self-service scheduling
By default, signups to open slots are first-come-first-served.
You can also require admin approval for signups, creating a queue instead.
For special assignments, you can create unlisted tasks that aren't visible for general signup - these require manual assignment of team members.
By default, the account who posts new tasks is the supervisor contact, displayed to team members for easy messaging. You can also reassign the supervisor to a different administrator member, who will receive all related notifications and chat messages.
The task view provides a filtered list of available tasks. While administrators can see all tasks and their status, team members only see tasks matching their profile qualifications. This ensures that people only see relevant opportunities they're qualified to take on.
Notifications
Published tasks will immediately notify relevant team members through push notifications in their smartphone app. All team members can also subscribe to email notifications for new tasks, should they prefer to have an alternative channel for updates.
